The script on website can even ask the customer for their Credit card numbers and encode them using an industry standard secure algorithm. When you view the order, these details are shown to you, along with a button to erase these details. Here you can write these details and erase them from the website database completely. This way, you can be sure that no Credit Card info is available on the website, providing your customers with a very secure environment.

Reception Software: Your reception can directly add any bookings without coming to website

Quick and easy. Nothing complicated.

Purpose of this software is to provide your reception staff with a quick view of bookings done on the website, so they do not double book any room and end up confusing precious customers. This software also updates the website, so the website does not double book any rooms! Very easy, quick, safe, and uses very minimal resources.

  1. The desktop software displays Dates, Number of days, Reception Password (to ensure that only your reception can use this), Rooms, Action and process.
  2. Ability to search availability through the software. Enter dates and click search. Pretty easy...
  3. Ability to add bookings (dates, room & number of nights) through the software.
  4. Ability to cancel bookings through the software. You can only use the software to cancel bookings that have been created by the software. Other bookings can be cancelled in Admin panel (see below)

Quick, easy, short process

  1. Quick search box. Visitors enter their required booking dates, and click search. A list of available rooms is shown
  2. They enter their name, address etc and pay you either by credit card, or by Paypal.com
  3. Search box can be displayed on your current website if you have one.

Admin panel: Your control area

  1. Secure Login
  2. Add, edit, remove room details
  3. View all rooms, prices and status.
  4. Ability to close bookings for your selected room. This room will then be removed from the availability system without deleting the actual room details (useful if you are renovating a room.)
  5. Ability to set special prices. Use a different price for every day of the year if you want. Very good feature for special events where you charge a different price
  6. View a list of all bookings.
  7. Accept pending bookings. All room bookings in the pending state will be unavailable when searching dates. This is to avoid receiving double bookings.
  8. Ability to deny bookings. You are required to provide a reason for denying a booking. This will be sent to your potential resident.
  9. Delete denied bookings from the system. You must set a booking to the denied state before you can delete it from the system.
  10. Backup all online booking details. This will download a simple HTML webpage to your computer that displays Booking ID, First Name, Last Name, Email address, Telephone, Arrival Date, Number of nights and Room. For security reasons this download/backup does not display any credit card information.
  11. View all telephone/offline bookings updated through the desktop software. This displays Booking ID, Name, Arrival Date, Number of Days, Room and Booking Status. All bookings created by the desktop software are automatically accepted and set to unavailable.
  12. Admin has the ability to view any bookings that has been cancelled using the desktop software. If you agree with the cancelled booking you can delete this from the system or accept the booking again. This is a backup function that I included so you can keep track of all bookings accepted and cancelled through the desktop software.
  13. Backup reception bookings. This will download a HTML webpage to your computer that displays Booking ID, Name, Arrival Date, Number of nights and Room.
  14. Generate the availability search box code that you can copy and paste in to your homepage.
  15. Set a minimum number of days. If you set the minimum number of days to 3 then the availability search system will display an error message if anyone searches for 1 or 2 days. They must select at least 3 days to view room details. If you set the minimum number of days to 0 then they can book a room for one day.
  16. Discount feature. You can setup a percentage discount for long term bookings. If you set the days to 7 and the percentage to 20 then if anyone books more than 7 days the system will automatically provide them with a 20% discount. If you set both to 0 then no discounts will apply.
  17. Accept bookings by telephone. This feature is built in. We can remove it if required.
  18. Accept bookings by PayPal. You have the option to turn this on or off.
  19. Accept bookings by Credit Card. You have the option to turn this on or off. For credit card bookings we can set the system up so your resident can pay a percentage (set by yourself) or the full booking total.
  20. You control how you want to accept bookings.
  21. Set your PayPal email address.
  22. Set the password used by the desktop software.
  23. Edit Home page, Welcome email, Terms and conditions documents in admin panel. A MS-WORD like easy editor is provided to you using which you can easily write stylish documents
  24. Secure Logout of admin.
